How-to Guide

1. Add a Smart Spreadsheet Shortcut

Entry: Cloud document list → right-click a file → Add Shortcut To

  1. In the workspace, find the smart spreadsheet you want in Recent Documents or the cloud document list.
  2. Right-click the file.
  3. Select Add Shortcut To from the menu.
  4. Choose a target folder, such as My Cloud Documents or Team Documents.
  5. Open the shortcut from the target folder and confirm that it opens the original document directly.

Success Criteria

  • Interface result: the shortcut appears in the target folder.
  • What you can do next: click the shortcut to open the original smart spreadsheet directly.
  • No side effect: the original file remains in its original location.

Tips While Using

  • Common mistake: choosing the wrong target folder can make the shortcut harder to find later.
  • Environment note: make sure you are signed in and your network connection can access cloud documents.

2. Add a Shortcut from Inside a Document

Entry: smart spreadsheet title bar drop-down menu → Add Shortcut

  1. Open the smart spreadsheet you want to keep easy to access.
  2. In the title bar, click the drop-down button next to the document name.
  3. Select Add Shortcut.
  4. Choose the folder where you want to place the shortcut.
  5. Go to that folder and confirm that the shortcut has been created.

Success Criteria

  • Interface result: the shortcut appears in the selected folder.
  • What you can do next: you can reopen the same document later from the shortcut.
  • No side effect: the current document stays open.

Tips While Using

  • Common mistake: if you do not click the drop-down button next to the document name, the entry may be easy to miss.
  • Environment note: the current document should already be saved in an accessible cloud document location.

3. Delete a Shortcut

Entry: right-click the shortcut → Delete Shortcut

  1. Find the smart spreadsheet shortcut you added in Cloud Documents.
  2. Right-click the shortcut you want to remove.
  3. Select Delete Shortcut.
  4. Confirm that the shortcut is removed from the current location.
  5. If you still need the original file, open it again from its original location or another shortcut entry.

Success Criteria

  • Interface result: the shortcut disappears from the current folder.
  • What you can do next: the original file can still be opened from its original location.
  • No side effect: deleting the shortcut does not delete the original file content.

Tips While Using

  • Common mistake: deleting a shortcut is not the same as deleting the original file. To remove the original file, go to its original location and use the related file action there.
  • Environment note: if the original file has already been deleted, the shortcut will no longer work.
