How-to Guide
1. Type @ in a document to open contacts
Entry: Open a Smart Document → enter editing mode → type @
- Open the Smart Document that you want to edit on your Android device.
- Tap the document area to enter editing mode.
- Type the
@symbol where you want to notify someone. - Wait for the contact list or picker to appear.
Success Criteria
- Interface result: a contact list or selection panel appears after you type
@. - Next action available: you can continue by searching for and inserting a contact.
Tips While Using
- You need to be in editable mode. Mentioning cannot be completed in read-only preview.
- Loading contacts usually requires both network access and a signed-in account.
2. Search for or select the person to mention
Entry: Contact list → search box or direct selection
- Browse the available collaborators in the contact list.
- If there are many contacts, enter part of the person’s name to search.
- Select the target contact to insert the mention at the current position.
Success Criteria
- Interface result: the selected person’s name appears after
@. - Next action available: you can continue typing context or mention more people.
Tips While Using
- This is more suitable for members who already participate in the collaboration or already have access to the document.
- If you cannot find the right person, check the document sharing scope and collaborator list first.
3. Finish the mention and send a reminder
Entry: Continue editing after inserting the contact
- After inserting the person’s name, type the message or context you want them to review.
- Confirm that the mentioned person and the surrounding text are correct.
- Finish editing and wait for the document to sync.
- The mentioned collaborator will receive a related reminder.
Success Criteria
- Interface result: the mention remains in the document content.
- Next action available: other collaborators can continue reviewing, replying, or editing around that content.
Tips While Using
- Add a short and clear instruction after the mention so the other person can understand what needs attention.
- If the network is unstable, reminder delivery may be delayed.
4. Check permissions and notification results
Entry: Collaboration status → member access permissions → notification result
- Confirm that the document is shared for collaboration and that the target member has access.
- Check whether the mentioned person is already included in the collaborator scope.
- Ask the other person to check the message center or app notifications.
- If no reminder arrives, review the network connection, account status, and document permission settings.
Success Criteria
- Interface result: the target member can open the document or view the reminder normally.
- Next action available: both sides can continue working on the referenced content.
Tips While Using
- The mentioned person needs document access, or they may not be able to open the file smoothly.
- If document permissions change later, notification results may also be affected.
