How-to Guide

1. Prepare sample data

Feature entry: Open a WPS spreadsheet workbook and enter examples in the first few cells of the target column.

  1. Open the spreadsheet file that you want to clean up.
  2. Locate the target column that needs automatic filling.
  3. Enter the result examples you want in the first 1 to 2 cells.
  4. Make sure there is a clear pattern between the source data and your examples.

Success Criteria

  • Interface result: the first few cells in the target column already show your example results.
  • Next action available: you can continue by selecting the example cells and running Smart Fill.

Tips While Using

  • Common mistake: if the examples are too few or the pattern is unclear, the recognized result may not match your expectation.
  • Environment note: it is helpful to keep the source data arranged consistently and avoid blank rows that may affect recognition.

2. Run Smart Fill

Feature entry: Home tab → Fill drop-down menu → Smart Fill.

  1. Select the cells that contain your sample data.
  2. Click the Home tab at the top of the window.
  3. Open the Fill drop-down menu.
  4. Click Smart Fill.
  5. Wait while WPS recognizes the pattern and fills the remaining cells.

Success Criteria

  • Interface result: the remaining cells in the target column are filled according to the sample pattern.
  • Next action available: you can continue editing, undo the result, or save the workbook.

Tips While Using

  • Common mistake: if you do not select the sample cells first, the fill range or result may be inaccurate.
  • Environment note: if the pattern is not obvious, add clearer examples and run Smart Fill again.

3. Review and adjust filled results

Feature entry: After filling is complete, review the result column directly in the worksheet.

  1. Scan the filled cell contents.
  2. Check whether text splits, date formats, or number patterns match your expectation.
  3. If some results are not suitable, edit those cells manually.
  4. If needed, provide clearer examples and run Smart Fill again.
  5. Save the workbook.

Success Criteria

  • Interface result: the result column generally matches the expected format.
  • Next action available: you can continue with calculations, filtering, or file export.

Tips While Using

  • Common mistake: trusting all results without checking them may leave a small number of exceptions unnoticed.
  • Environment note: for complex mixed data, process in smaller batches so the results are easier to verify.
