1. Create a Pivot Table

Feature entry: Insert → Pivot Table

  1. Select any cell in the data range.
  2. Click Pivot Table on the Insert tab.
  3. In the dialog box, confirm the data range and placement location.
  4. In the field pane, drag fields to Rows, Columns, Values, and Filters.
  5. Review the updated Pivot Table result.
  6. Click OK.

Success Criteria

  • A new Pivot Table area is created.
  • The field pane remains available for further adjustments.
  • The row, column, and value areas show summarized results.

Tips While Using

  • The source data should preferably include clear headers.
  • The displayed result changes as fields are moved between areas.

2. Change the Value Summary Method

Feature entry: Click the Pivot Table → Value Field Settings

  1. Click the arrow next to the field in the Values area.
  2. Select Value Field Settings.
  3. Choose a summary method such as Sum, Count, Average, Max, or Min.
  4. Click OK.

Success Criteria

  • The values area updates with the new summary method.
  • The displayed result matches the selected calculation method.

Tips While Using

  • Check whether the selected field is more suitable for numeric aggregation or counting before changing the method.

3. Insert a Slicer

Feature entry: Analyze → Slicer

  1. Select an existing Pivot Table.
  2. Click Slicer on the Analyze tab.
  3. Choose the field in the dialog box.
  4. Click OK.

Success Criteria

  • A slicer control appears in the worksheet.
  • Clicking slicer options filters the Pivot Table results.

Tips While Using

  • Select the target Pivot Table before inserting the slicer.

4. Modify Pivot Table Options

Feature entry: Analyze → Options

  1. Select an existing Pivot Table.
  2. Click Options on the Analyze tab.
  3. Adjust layout and format, totals and filters, display, or data settings in the dialog box.
  4. Click OK.

Success Criteria

  • The Pivot Table display updates according to the selected settings.
  • The layout or filtering behavior changes as expected.

5. Hide Data

Feature entry: Analyze → Hide

  1. Select the data you want to hide in the existing Pivot Table.
  2. Click Hide on the Analyze tab.

  • The selected data no longer appears in the current Pivot Table view.

  • Confirm that hiding the data only affects the current reporting need.

6. Group Selection

Feature entry: Analyze → Group Selection

  1. Select an existing Pivot Table.
  2. Click Group Selection on the Analyze tab.
  3. Combine multiple scattered items under the same field into a new group.

Success Criteria

  • A new grouped result appears in the Pivot Table.
  • Previously scattered items are shown as a grouped category.

Tips While Using

  • Grouping is useful for category summaries and staged analysis.

7. Ungroup

Feature entry: Analyze → Ungroup

  1. Select an existing Pivot Table.
  2. Click Ungroup on the Analyze tab.

Success Criteria

  • The existing grouping is removed.
  • Items return to their original display structure.

Tips While Using

  • Removing grouping changes the related summary view at the same time.

8. Change the Data Source

Feature entry: Analyze → Change Data Source

  1. Select an existing Pivot Table.
  2. Click Change Data Source on the Analyze tab.
  3. Select a new source range in the dialog box.
  4. Click OK.

Success Criteria

  • The Pivot Table connects to the new data range.
  • The existing analysis structure continues to work with the updated data.

Tips While Using

  • The new source range should preferably keep a clear field structure for reuse.

9. Clear Pivot Table Content

Feature entry: Analyze → Clear

  1. Select an existing Pivot Table.
  2. Click Clear on the Analyze tab.

Success Criteria

  • The current Pivot Table content is cleared.
  • The result area is reset or no longer shows the previous content.

Tips While Using

  • Confirm whether you need to keep the current layout before clearing it.

10. Move a Pivot Table

Feature entry: Analyze → Move

  1. Select an existing Pivot Table.
  2. Click Move on the Analyze tab.
  3. Choose the new destination in the dialog box.
  4. Click OK.

Success Criteria

  • The Pivot Table moves to the selected location.
  • The previous location no longer keeps the old Pivot Table area.

Tips While Using

  • Make sure the destination area will not overwrite existing data.

11. Fields and Items

Feature entry: Analyze → Fields and Items

  1. Select an existing Pivot Table.
  2. Click the Fields and Items drop-down list on the Analyze tab.
  3. Choose Calculated Field, Calculated Item, Solve Order, or List Formulas as needed.

Success Criteria

  • The selected field or item tool opens successfully.
  • The Pivot Table is ready for further calculation or formula-related setup.
