1. Copy Format

Entry point: Tools → Home → Format Painter → Copy Format

  1. Select the cell whose formatting you want to copy.
  2. Tap the Home tab.
  3. Tap Copy Format.

Success Criteria

  • The formatting of the selected cell is captured and ready to be applied to another range.
  • The current spreadsheet remains editable.

Tips While Using

  • Format Painter copies formatting settings only and does not copy cell content.
  • Check that the source cell has the expected font, border, fill, and alignment before you copy it.

2. Paste Format

Entry point: Tools → Home → Format Painter → Paste Format

  1. Complete the Copy Format action first.
  2. Select the target range where you want to apply the formatting.
  3. Tap the Home tab.
  4. Tap Paste Format.

Success Criteria

  • The target range shows the same formatting effect as the source cell.
  • The original cell content stays unchanged and only the formatting is updated.

Tips While Using

  • It is helpful to apply the copied format to ranges that serve a similar purpose so the sheet stays visually consistent.
  • If the result is not what you expected, use Undo to restore the previous step.

3. Clear Format

Entry point: Tools → Home → Format Painter → Clear Format

  1. Select the range whose formatting you want to remove.
  2. Tap the Home tab.
  3. Tap Clear Format.

Success Criteria

  • The formatting settings in the selected range are removed.
  • The cell content remains available for further editing or restyling.

Tips While Using

  • Confirm the selected range before clearing formatting so you do not affect cells that should stay unchanged.
  • If you want to replace the current style instead of removing it, copy a format first and then paste it.
