1. Insert a Chart

Entry: Insert tab → Chart

  1. Prepare the worksheet data you want to visualize and make sure the data range includes clear headers.
  2. Click the Chart button on the Insert tab.
  3. In the dialog box, choose a chart category on the left, such as column, line, or pie.
  4. Choose a specific chart subtype on the right.
  5. Confirm the selection, and the chart will be inserted into the current worksheet.

Success Criteria

  • Interface result: A new chart object appears in the current worksheet.
  • Next action available: You can select the chart and continue editing it with chart tools.

Tips While Using

  • Common mistake: If the data range is not selected or organized clearly, the chart series or categories may not appear as expected.
  • Environment note: It is recommended to include headers so the series names can be recognized more clearly.

2. Edit a Chart

Entry: Select the chart → Chart Tools tab

  1. Click the chart so it becomes selected.
  2. On the Chart Tools tab, review common options such as Add Element, Quick Layout, Change Type, Switch Row/Column, Select Data, Move Chart, Format, and Reset Style.
  3. To change the chart type, click Change Type and choose another chart style.
  4. To add a title, data labels, a legend, a trendline, or error bars, click Add Element and choose the item you need.
  5. To adjust colors, fonts, borders, or other styles in more detail, right-click the chart or a chart element and choose the formatting option.

Success Criteria

  • Interface result: The chart type, elements, or styles change as expected.
  • Next action available: You can continue adjusting data, layout, and formatting.

Tips While Using

  • Common mistake: If the chart is not selected first, the Chart Tools tab will not appear.
  • Environment note: After you click another area in the worksheet, the chart tools entry may be hidden until the chart is selected again.

3. Export a Chart as an Image

Entry: Select the chart → right-click → Save as Picture

  1. Click the chart so it becomes selected.
  2. Right-click the chart and choose Save as Picture.
  3. Choose a save location in the dialog box.
  4. Select an image format such as JPEG or PNG.
  5. Save the file to complete the export.

Success Criteria

  • Interface result: An image file is created in the selected location.
  • Next action available: You can insert the exported image into a document, presentation, or message.

Tips While Using

  • Common mistake: If the full chart object is not selected, the export option may not appear in the right-click menu.
  • Environment note: Make sure the destination folder allows file writing before saving.
