How-to Guide
1. Quick Sort (Ascending/Descending)
Feature path: Data → Sort → Ascending / Descending
- Select any cell in the column you want to sort.
- Click Data and then click Sort.
- Choose Ascending or Descending from the menu.
- Check whether the full table has been reordered based on the selected column, with related row data moving together.
Success Criteria
- Interface result: The selected column appears in a new order.
- Next action available: You can continue editing, filtering, or saving the sheet after sorting.
Tips While Using
- Common mistake: Looking only at one column and overlooking the full-row movement can make the result seem incorrect.
- Environment note: In a collaborative sheet, the sorted result is synced to other collaborators.
2. Custom Sort (Multi-Level Sorting)
Feature path: Data → Sort → Custom Sort
- Select any cell in the data range.
- Click Data, click Sort, and then select Custom Sort.
- In the Custom Sort dialog box, set the primary key, sort basis, and order.
- If the first row contains headers, turn on Data has header row so the header is not sorted as data.
- If you need more levels, click Add Condition to add another sort rule.
- If you need to remove a rule, select that rule and click Delete Condition.
- Click OK to run the sort.
Success Criteria
- Interface result: Data is sorted by the primary key first and then by the secondary key.
- Next action available: You can reopen Custom Sort and adjust the rules again.
Tips While Using
- Common mistake: If the header option is not enabled, the first row may be sorted as regular data.
- Environment note: Multi-level sorting is applied from top to bottom in the rule list.
3. More Settings
Feature path: Custom Sort → More Settings
- Open the Custom Sort dialog box.
- Click More Settings.
- Adjust the sort direction as needed, such as sorting by row or by column.
- Turn on case-sensitive sorting or other regional sort options if needed.
- Confirm the settings, return to the main dialog box, and click OK to finish sorting.
Success Criteria
- Interface result: The sorting result matches the selected direction or case-sensitive rule.
- Next action available: You can return to the main dialog box and continue adjusting sort rules.
Tips While Using
- Common mistake: If you do not confirm the sort direction, the result may not match the expected row or column orientation.
- Environment note: If the range contains merged cells, check whether the data structure is suitable for sorting before you continue.
