How-to Guide
1. Adjust show scale from the ribbon
Entry: View tab → Show Scale
- Open the collaborative spreadsheet you want to review.
- Click the View tab at the top.
- Click the Show Scale button on the toolbar.
- In the dialog box, choose a preset percentage such as 120%, 100%, or 80%.
- If you need a more precise view, enter a custom percentage value.
- Click OK to apply the zoom setting.
Success Criteria
- Interface result: The spreadsheet display size changes to the selected percentage.
- What you can do next: You can continue browsing, editing, or switching to other sheets.
- No side effect: Spreadsheet content, print size, and other collaborators' display settings are not changed.
Tips While Using
- Common mistake: If you enter a very small percentage, cell content may become difficult to read.
- Environment note: If the collaborative file goes offline, multi-user syncing may be affected, but the current local viewing scale can still remain in use.
2. Adjust show scale from the status bar
Entry: Bottom status bar → “+” / “-” / percentage value
- Open the collaborative spreadsheet and locate the zoom area in the status bar at the bottom of the window.
- Click + to enlarge the current view.
- Click - to reduce the current view.
- Check the percentage value shown in the middle to confirm the current zoom level.
- If you want a specific scale, click the percentage value and enter the number directly.
Success Criteria
- Interface result: The percentage value in the status bar changes as you adjust the scale.
- What you can do next: You can continue reviewing the sheet while changing the zoom level.
- No side effect: The operation does not change spreadsheet data, formulas, or formatting.
Tips While Using
- Common mistake: Repeatedly clicking zoom in or zoom out may move the view away from a comfortable reading level, so adjust it based on your screen size.
- Environment note: The most suitable scale may differ across displays with different resolutions.
