1. Open print settings

Entry point: File Operations → Print, or press Command+P

  1. Open the collaborative spreadsheet.
  2. Press Command+P, or click Print under File Operations.
  3. Enter the print preview window.
  4. Review the available print settings in the right-side panel.

Success Criteria

  • UI state: The print preview window is displayed.
  • Next actions: You can continue to set the printer, paper, range, and scaling options.

Tips While Using

  • Common mistakes: If the target document window is not active, the shortcut may not apply to the current spreadsheet.

2. Print a document from the Home tab

Entry point: Home tab → Print button

  1. Open the collaborative spreadsheet in cloud documents.
  2. Click the Home tab.
  3. Select the Print button.
  4. Confirm the content in print preview and start printing.

Success Criteria

  • UI state: Print preview opens from the Home tab.
  • Next actions: You can print immediately or continue adjusting print settings.

  • Common mistakes: If you do not confirm the current worksheet content first, the output may not match your expectation.

3. Configure print settings

Entry point: Print preview → right-side print settings panel

  1. Select a local printer, or choose WPS PDF for PDF output.
  2. Set the paper size and paper orientation.
  3. Select the current worksheet or enter a page range.
  4. Choose black-and-white or color printing.
  5. Set pages per sheet.
  6. Choose no scaling or set a scaling percentage.

Success Criteria

  • UI state: The settings in the right-side panel are updated.
  • Next actions: You can review the result in preview and then print or export.

Tips While Using

  • Common mistakes: If you do not check orientation and scaling, the content may be compressed or split across pages unexpectedly.
  • Environment limits: Some print options depend on the capabilities of the selected printer.

4. Adjust margins

Entry point: Print preview → Margins / Adjust Margins

  1. In print preview, click the margin-related option.
  2. Select a preset such as Normal, Narrow, or Moderate.
  3. If you need finer control, choose Adjust Margins.
  4. Drag the page border lines manually and watch the preview update.

Success Criteria

  • UI state: The page margins in preview change.
  • Next actions: You can continue printing or go back to adjust other settings.

Tips While Using

  • Common mistakes: Margins that are too small may exceed the printable area of the printer.
