1. Create a Row Group

Entry point: Data tab → Group → Group X Rows

  1. Select the consecutive rows you want to combine, such as Row 2 through Row 5.
  2. Click the Group button on the Data tab.
  3. Select Group X Rows.
  4. Check the left side of the worksheet for the new group collapse control.
  5. Click - to collapse the group, or click + to expand it again.

Success Criteria

  • UI state: A row grouping control appears on the left side of the worksheet.
  • Next actions: You can continue creating groups for other consecutive rows.
  • No side effects: Existing cell data remains unchanged.

Tips While Using

  • Common mistakes: If the selected rows are not consecutive, the grouping result may not match your expectation.

2. Create a Column Group

Entry point: Data tab → Group → Group X Columns

  1. Select the consecutive columns you want to combine.
  2. Click the Group button on the Data tab.
  3. Select Group X Columns.
  4. Check the top of the worksheet for the column grouping control.
  5. Use the control to collapse or expand that column area.

Success Criteria

  • UI state: A column grouping control appears at the top of the worksheet.
  • Next actions: You can continue creating groups for other column ranges.
  • No side effects: Data and formatting in the columns stay the same.

3. Remove a Group

Entry point: Data tab → Group → Ungroup

  1. Select the rows or columns that are already grouped.
  2. Click Group on the Data tab.
  3. Select the command for ungrouping or removing the group.
  4. Confirm that the group control has disappeared from the worksheet edge.

Success Criteria

  • UI state: The group control for the selected rows or columns disappears.
  • Next actions: You can select a new range and create another group.
  • No side effects: Removing a group does not delete the original data.

4. Use Outline Controls

Entry point: The + and - outline controls on the left side or at the top of the worksheet

  1. Create at least one row group or column group in the worksheet first.
  2. Find the - or + control shown at the edge of the worksheet.
  3. Click - to collapse the grouped content.
  4. Click + to expand the grouped content.
  5. If there are nested groups, expand them level by level to view more detail.

  • UI state: The grouped area switches between collapsed and expanded states.
  • Next actions: You can change the visible level based on what you need to review.
  • No side effects: Collapsing changes only the display, not the data itself.
