1. Create Row Groups

Entry point: Data → Group → Group X Rows

  1. Open the collaborative spreadsheet and select the consecutive rows you want to group, such as rows 2 through 5.
  2. Click the Group button on the Data tab.
  3. Select Group X Rows.
  4. Check whether a group collapse control appears on the left side of the sheet.
  5. Click - to collapse the group, and click + to expand it again.

Success Criteria

  • UI state: A group control appears on the left side of the sheet.
  • Next actions: You can continue collapsing, expanding, or creating more groups.

Tips While Using

  • Common mistakes: If the selected rows are not consecutive, the grouping range may not match what you expect.
  • Environment limits: In collaboration mode, a stable network connection is recommended.

2. Create Column Groups

Entry point: Data → Group → Group X Columns

  1. Select the consecutive columns you want to group in the sheet.
  2. Click the Group button.
  3. Select Group X Columns.
  4. Check whether a column group control appears at the top of the sheet.
  5. Collapse or expand the column group as needed.

Success Criteria

  • UI state: A column group control appears at the top of the sheet.
  • Next actions: You can continue reviewing different column areas more easily.

Tips While Using

  • Common mistakes: If the selected columns are not consecutive, the grouping result may not match your expectation.

3. Remove Groups

Entry point: Data → Group → Ungroup / Clear Grouping

  1. Select the grouped rows or columns.
  2. Click Group on the Data tab.
  3. Select Ungroup to remove the current group.
  4. If you want to remove all groups at once, select Clear Grouping.

Success Criteria

  • UI state: The related group control disappears or the grouping structure is cleared.
  • Next actions: You can create a new grouping structure again.

Tips While Using

  • Common mistakes: If you do not select the target grouped area first, the current group may not be removed as expected.

4. Use Outline Controls

Entry point: The - and + outline controls on the left side or top of the sheet

  1. Create a row group or column group in the sheet first.
  2. Find the related outline control at the edge of the sheet.
  3. Click - to collapse the related group.
  4. Click + to expand the related group.
  5. If there are nested groups, expand them level by level to review detailed data.

Success Criteria

  • UI state: The grouped area can switch between collapsed and expanded states.
  • Next actions: You can continue browsing data at different levels.

Tips While Using

  • Common mistakes: If no group has been created yet, no outline control will be available.
