How-to Guide

1. Turn On Filter

Entry: Home tab → Filter

  1. Select any cell in the data range, or select the full table first.
  2. Click Filter on the Home tab.
  3. Check the header row and confirm that filter drop-down arrows appear.
  4. You can also press Ctrl + Shift + L to turn on filtering quickly.

Success Criteria

  • Interface result: Filter drop-down arrows appear in the column headers.
  • Next action available: You can open a column filter menu and set conditions.

Tips While Using

  • Common mistake: If the selected range is incomplete, the filter range may not cover all data.
  • Environment note: Keep the data area continuous for a clearer filter range.

2. Filter Data by Condition

Entry: Click a column header drop-down arrow

  1. Click the drop-down arrow in the target column header.
  2. Choose a filtering method in the panel.
  3. Filter by selected items to show only the values you need.
  4. You can also filter by color or by conditions such as equals, greater than, less than, or between.
  5. Confirm the settings and review the remaining visible rows.

Success Criteria

  • Interface result: Rows that do not match the condition are hidden.
  • Next action available: You can continue adjusting the same column or add filters to other columns.

Tips While Using

  • Common mistake: Too many conditions may return no visible rows.
  • Environment note: Color-based filtering requires cells that already contain recognizable color marks.

3. Use the Search Box for Quick Filtering

Entry: Column header drop-down arrow → Search box

  1. Click the drop-down arrow in the target column header.
  2. Type a keyword in the search box.
  3. Review the narrowed list of candidate items in the panel.
  4. Select or clear the needed items and confirm the filter.
  5. Check the worksheet to see only the related rows.

Success Criteria

  • Interface result: The list of candidate items in the filter panel becomes narrower.
  • Next action available: You can select the target items and apply the result.

Tips While Using

  • Common mistake: An inaccurate keyword may not narrow the list effectively.
  • Environment note: Search results depend on the actual text or numbers in the current column.

4. Clear Filters

Entry: Home tab → Filter, or column drop-down arrow → Clear Filter

  1. To clear one column filter, open that column menu and choose Clear Filter.
  2. To clear all filters, click Filter again to turn filtering off.
  3. You can also press Ctrl + Shift + L to toggle the filter state.
  4. Confirm that the full table view is restored.

Success Criteria

  • Interface result: Hidden rows appear again.
  • Next action available: You can apply a new filter or continue editing the worksheet.

Tips While Using

  • Common mistake: Clearing one column filter does not remove filters that are still active in other columns.
