How-to Guide
1. Switch to Outline View
Entry: View tab → Outline
- Open the document that you want to organize.
- Click the View tab at the top of the window.
- Click Outline.
- The document switches to Outline View.
- Check whether the left-side outline structure is visible.
Success Criteria
- Interface result: The document opens in Outline View and a structure pane appears on the left.
- What you can do next: You can click outline items, expand or collapse levels, or reorder sections.
Tips While Using
- Common mistake: If the document does not use consistent heading styles, the outline may not display completely.
- Environment note: Very short documents or files without headings may show limited outline information.
2. Navigate the document with the outline
Entry: Left outline pane in Outline View
- Enter Outline View first.
- Review the heading hierarchy in the left pane.
- Click the heading that you want to view.
- The document jumps to the corresponding section in the main text.
- Continue clicking other headings as needed.
Success Criteria
- Interface result: Clicking a heading moves the document to the matching section.
- What you can do next: You can continue reading, editing, or switching to another section.
Tips While Using
- Common mistake: Clicking in the main text instead of the left outline pane will not trigger section navigation.
- Environment note: Navigation depends on the heading structure in the document.
3. Expand or collapse outline levels
Entry: Outline toolbar or expand/collapse controls in the left pane
- Open the target document in Outline View.
- Click the control for expanding all levels, or use the related collapse control.
- Expand or collapse a specific level as needed.
- Check whether the visible heading range matches your reading or editing needs.
Success Criteria
- Interface result: The outline list expands or collapses based on your action.
- What you can do next: You can keep navigating or editing within the current visible range.
Tips While Using
- Common mistake: Collapsing a level does not delete content; it only hides it temporarily in the current view.
- Environment note: In documents with many levels, it is often easier to collapse first and then expand step by step.
4. Reorder the outline
Entry: Outline toolbar → Move Up / Move Down
- In Outline View, select the heading or paragraph that you want to move.
- Click Move Up or Move Down.
- Check whether the selected content moves together with its sublevels.
- Repeat until the structure matches your intended order.
Success Criteria
- Interface result: The selected heading or paragraph changes position, and related sublevels move with it.
- What you can do next: You can continue adjusting other sections or return to the main text for detailed editing.
Tips While Using
- Common mistake: If you do not select the target heading first, the move action may not produce the expected result.
- Environment note: Confirm heading levels before reordering so the structure stays clear.
