1. Schedule an email
Entry point: Email compose page → dropdown arrow next to Send → Scheduled Sending
- Click Write Email to open the email compose page.
- Enter the recipient, subject, and message body.
- Click the dropdown arrow next to Send.
- Select Scheduled Sending.
- In the send time dialog, choose the date and time.
- Click Scheduled Sending to confirm.
Success Criteria
- Interface result: the email is not sent immediately and enters a scheduled state.
- What you can do next: before the planned send time, you can return to Drafts and manage the message.
Tips While Using
- Common mistake: setting the time before checking the message details can lead to extra edits later.
- Environment note: the network connection and mail account need to remain available for scheduled delivery.
2. Change the send time for a scheduled email
Entry point: Drafts → open the email that already has scheduled sending set
- Before the scheduled time arrives, open Drafts.
- Find the scheduled email and open it.
- Open the scheduled sending settings again.
- Choose a new date and time.
- Confirm the updated schedule.
Success Criteria
- Interface result: the email shows the new planned send time.
- What you can do next: you can continue editing the message or adjust the send time again.
Tips While Using
- Common mistake: trying to change the schedule after the planned send time, when the email may already have been sent.
- Environment note: the change must be completed before the actual delivery time.
3. Cancel scheduled sending
Entry point: Drafts → open the email that already has scheduled sending set
- Before the scheduled time arrives, open Drafts.
- Open the email that you want to remove from scheduled sending.
- Cancel the current scheduled sending setting.
- Keep the email as a normal draft and continue editing or send it manually later.
Success Criteria
- Interface result: the email is no longer set to send automatically at the original time.
- What you can do next: the message stays in Drafts and can still be edited or sent manually.
Tips While Using
- Common mistake: assuming the email will be deleted after canceling the schedule. It stays as a draft instead.
- Environment note: cancellation also needs to be completed before the original send time.
