How-to Guide
1. View Version History
Entry path: Tap the top-right ≡ icon → Version History
- Open the smart spreadsheet.
- Tap the top-right ≡ icon.
- Select Version History from the list.
- Review the version list for the current file.
Success Criteria
- Interface result: The version list for the current file is displayed.
- Next action available: You can continue to name, preview, restore, or delete a selected version.
Tips While Using
- Environment note: A network connection is required when using version history.
2. Name a Version
Entry path: Tap the top-right ≡ icon → Version History → ... → Name
- Tap the top-right ≡ icon.
- Select Version History.
- Find the version you want to label.
- Tap the ... icon next to that version.
- Tap Name.
- Enter the name and tap OK.
Success Criteria
- Interface result: The selected version shows the new name.
- Next action available: You can identify that version more quickly later.
Tips While Using
- Common mistake: Confirm the selected version before naming it so the label is applied to the correct version.
3. Preview a Version
Entry path: Tap the top-right ≡ icon → Version History → ... → Preview
- Tap the top-right ≡ icon.
- Select Version History.
- Find the version you want to preview.
- Tap the ... icon next to that version.
- Tap Preview to open that version.
Success Criteria
- Interface result: The selected historical version opens for review.
- Next action available: You can decide whether to restore that version after checking it.
Tips While Using
- Common mistake: Preview is for checking content first; restore only after confirming the version is correct.
4. Restore a Version
Entry path: Tap the top-right ≡ icon → Version History → ... → Restore This Version
- Tap the top-right ≡ icon.
- Select Version History.
- Find the version you want to restore.
- Tap the ... icon next to that version.
- Tap Restore This Version to return the file to that state.
Success Criteria
- Interface result: The current file changes to the selected historical version.
- Next action available: Collaborators can continue working with the restored spreadsheet data.
Tips While Using
- Common mistake: Preview the version before restoring it.
- Environment note: Restoring a version changes the current spreadsheet state for collaborators as well.
5. Delete a Version
Entry path: Tap the top-right ≡ icon → Version History → ... → Delete Version
- Tap the top-right ≡ icon.
- Select Version History.
- Find the version you want to delete.
- Tap the ... icon next to that version.
- Tap Delete Version.
Success Criteria
- Interface result: The selected version is removed from the list.
- Next action available: You can continue organizing the remaining version records.
Tips While Using
- Common mistake: Confirm that the version is no longer needed before deleting it.
