1. Create an Auto Task field
Entry: Click the + button on the right side of the table header, then choose Auto Task.
- Open the multi-dimensional table that you want to edit.
- Click the + button on the right side of the table header.
- In the field type list, select Auto Task.
- Enter the field name.
- Click OK to finish creating the field.
Success Criteria
- Interface result: A new Auto Task field column appears in the table.
- What you can do next: You can right-click the field title and continue to field settings.
Tips While Using
- Common mistake: If you choose another field type by mistake, the new column will not be created as an Auto Task field.
- Environment note: It is easier to continue setup when the table structure already exists.
2. Configure Auto Task field settings
Entry: Right-click the field title, then choose Field Settings.
- Right-click the title of the Auto Task field.
- Select Field Settings.
- In the settings panel, choose a task type such as notify contacts when status is checked, notify contacts when content changes, or notify contacts when a due date is reached.
- Select the status field and use a checkbox field as the trigger basis. If you do not have one yet, create a checkbox field first.
- Select the contact field to define who receives the notification. If you do not have one yet, create a contact field first.
- Close the panel after the setup is complete and return to the table.
Success Criteria
- Interface result: The selected task type, status field, and contact field are saved in the settings panel.
- What you can do next: You can continue editing the field later or use it together with lookup and summary fields.
Tips While Using
- Common mistake: Setup may stop partway if checkbox fields or contact fields are not prepared in advance.
- Environment note: Notification-based tasks work better when the collaboration table already contains complete related field information.
