How-to Guide
1. Quick Sort (Ascending/Descending)
Entry path: Data tab → Sort → Ascending / Descending
- Select any cell in the column you want to sort.
- Click Sort on the Data tab.
- Choose Ascending or Descending from the menu.
- Check whether the full table has been reordered based on the selected column and whether related row data moved together.
Success Criteria
- Interface result: The selected column is reordered.
- Next action available: You can continue editing, save the file, undo the action, or run another sort.
Tips While Using
- Common mistake: Sorting only part of the intended range can produce incomplete results.
- Environment note: In collaboration scenarios, the new order may be visible to other collaborators.
2. Custom Sort (Multi-Level Sorting)
Entry path: Data tab → Sort → Custom Sort
- Select any cell in the data range.
- Click Data → Sort → Custom Sort.
- In the Custom Sort dialog box, set the primary key, sort basis, and order.
- Turn on the header option when needed so the first row is not sorted as regular data.
- If you need more levels, click + Add Condition to add another sort column.
- Click OK to run the sort.
Success Criteria
- Interface result: Data is sorted by the primary key first, and equal values continue to sort by the added conditions.
- Next action available: You can reopen the dialog box to adjust or remove sort levels.
Tips While Using
- Common mistake: If the header setting is not confirmed, the first row may be sorted into the data range.
- Environment note: For merged cells, review the worksheet structure before sorting.
3. More Settings
Entry path: Custom Sort dialog box → More Settings
- Open the Custom Sort dialog box first.
- Click More Settings.
- Adjust the sort direction as needed, such as sorting by rows or by columns.
- Turn on case-sensitive sorting or other regional sort options when needed.
- Confirm the settings, return to the main dialog box, and run the sort.
Success Criteria
- Interface result: The selected advanced settings are applied to the current sort.
- Next action available: You can combine these settings with the main sort conditions and review the result again.
Tips While Using
- Common mistake: Switching to column-based sorting without checking the worksheet layout can produce unexpected results.
- Environment note: Advanced sort settings work better when the data structure is clearly organized.
