How-to Guide
1. Run a proofreading check
Entry path: Review → Proofreading → General Proofreading / Batch Proofreading
- Open the smart spreadsheet that you want to review.
- Click the Review tab.
- Click Proofreading.
- Select General Proofreading or Batch Proofreading.
- Wait for the scan to finish, then review the detected issues in the results area.
Success Criteria
- The proofreading results area opens successfully.
- Issues in the current spreadsheet are listed for follow-up actions.
Tips While Using
- Batch Proofreading is useful when you want to review more content at once.
- Before starting, confirm that you are checking the intended spreadsheet content.
2. Ignore or correct spelling suggestions
Entry path: Proofreading results panel
- Review the issue location, issue type, and suggested correction in the right-side results panel.
- Click Correct to apply the current suggestion.
- Click Ignore to skip the current suggestion and keep the original content.
- Click One-click Correction to process suggested items in a batch.
- Click ... to add the related item to a dictionary.
- Click Export Report to generate a separate report document.
Success Criteria
- The selected suggestion is corrected or ignored.
- After batch processing, the number of matching issues in the panel is reduced.
- After export, a separate report is available for review.
Tips While Using
- Before using One-click Correction, review a few suggestions to confirm they fit the spreadsheet context.
- For proper nouns or fixed terminology, add them to a dictionary to reduce repeated prompts.
3. Manage dictionaries
Entry path: Review → Proofreading → Dictionary Management
- Open the smart spreadsheet and go to the Review tab.
- Click Proofreading.
- Select Dictionary Management.
- Add or remove items under Approved Words, Incorrect Words, Sensitive Words, Terminology, and Names/Titles.
- Save the updated dictionary content.
Success Criteria
- The Dictionary Management page opens successfully.
- Added or removed entries are saved for later proofreading sessions.
Tips While Using
- It is helpful to let a designated team member maintain shared terminology rules.
- After updating dictionaries, run proofreading again to confirm the new behavior.
4. Adjust proofreading settings
Entry path: Review → Proofreading → Settings
- Open the smart spreadsheet that you want to check.
- Click Review and then Proofreading.
- Select Settings.
- Adjust Checking Items and Checking Preferences on the settings page.
- Save the settings and return to the spreadsheet.
Success Criteria
- The settings page opens successfully.
- Updated checking items or preferences take effect.
Tips While Using
- If the spreadsheet content changes significantly, adjust settings before running another spell check.
- If you see too many or too few prompts, fine-tune the checking scope again in Settings.
