1. Create a Pivot Table

Entry: Insert tab → Pivot Table

  1. Select any cell in the source data range and make sure the data includes complete headers.
  2. Click Pivot Table on the Insert tab.
  3. In the dialog box, choose where to place the Pivot Table, such as a new worksheet or an existing worksheet.
  4. Click Confirm, and the Pivot Table field panel appears on the right.

Success Criteria

  • Interface result: A new Pivot Table area appears in the worksheet.
  • What you can do next: The field panel is visible on the right, and you can continue dragging fields to configure the summary.

Tips While Using

  • The source data should include complete headers.
  • It is better to avoid blank rows or blank columns inside the data range.

2. Configure Pivot Table Fields

Entry: Pivot Table field panel

  1. In the field panel, locate the fields you want to analyze.
  2. Drag a field to the Filters area to set a global filter condition.
  3. Drag a field to the Columns or Rows area to organize horizontal or vertical categories.
  4. Drag a field to the Values area to apply summary calculations such as sum, count, or average.
  5. Review the generated summary results in the worksheet.

Success Criteria

  • Interface result: The Pivot Table shows summary results organized by the selected fields.
  • What you can do next: You can continue adjusting field positions or changing the summary method.

Tips While Using

  • The result structure changes when fields are placed in different areas such as Rows, Columns, or Values.
  • The Values area is usually used for numeric summary fields.

3. Edit a Pivot Table

  1. Click any cell in the Pivot Table to reopen the field panel.
  2. Drag fields to different areas to reorganize the data view.
  3. Click a field in the Values area and choose a summary method such as sum, count, average, maximum, or minimum.
  4. Use filters to switch between different views of the data.
  5. Right-click the Pivot Table and select Refresh to sync changes from the source data.

Success Criteria

  • Interface result: The Pivot Table layout, summary method, or filtered result is updated.
  • What you can do next: You can continue analyzing, sorting, or refreshing the data again.

Tips While Using

  • If the source data changes and the result does not update, run Refresh manually.
  • It is recommended to place the Pivot Table on a separate worksheet for easier review and maintenance.
