1. Turn on Filter

Entry point: Home tab → Filter

  1. Select any cell in the data range, or select the full table first.
  2. Click Filter on the Home tab.
  3. Check whether filter drop-down arrows appear in each header cell.
  4. You can also press Shift + Command + L to turn on filter quickly.

Success Criteria

  • UI state: Filter drop-down arrows appear in each header cell.
  • Next actions: You can click any header arrow to set filter conditions.

Tips While Using

  • Common mistakes: If the selected range is not continuous, the filter range may be incomplete.

2. Filter Data by Condition

Entry point: Click the drop-down arrow in the target column header

  1. Click the drop-down arrow in the target column header.
  2. Choose a filtering method in the panel.
  3. Use filter by option, filter by color, or filter by condition as needed.
  4. Select or set the target condition, then confirm.
  5. Check whether only matching rows remain visible.

Success Criteria

  • UI state: Rows that do not match the condition are hidden.
  • Next actions: You can continue adding filters to other columns.

Tips While Using

  • Common mistakes: If the condition is set in the wrong column, the result will not match your expectation.

3. Use the Search Box for Quick Filtering

Entry point: Column header drop-down arrow → Search box

  1. Click the drop-down arrow in the target column.
  2. Enter a keyword in the search box.
  3. Check whether the candidate list becomes narrower.
  4. Select or clear the needed items, then confirm.

Success Criteria

  • UI state: The candidate list is narrowed by the keyword.
  • Next actions: The sheet shows only rows that match the selected items.

Tips While Using

  • Common mistakes: If the keyword is too short or too broad, the candidate list may still be long.

4. Clear Filter

Entry point: Home tab → Filter; or column drop-down arrow → Clear Filter

  1. To clear the condition for one column, click that column's drop-down arrow and choose Clear Filter.
  2. To clear all filter conditions, click Filter again to turn off filter mode.
  3. You can also press Shift + Command + L to switch the filter state.

Success Criteria

  • UI state: Previously hidden rows appear again.
  • Next actions: You can set new filter conditions or return to normal browsing.

Tips While Using

  • Common mistakes: Turning off filter mode removes the current filter state at the same time.
