How-to Guide
1. Open Share from a spreadsheet
Entry point: Share in the top menu bar, Share under Settings in reading mode, or the Share button in the WPS document list.
- Open the smart spreadsheet that you want to share.
- Tap Share in the top menu bar while editing.
- If you are in reading mode, tap Settings, then tap Share.
- If you have not opened the file yet, find the target spreadsheet in the Recent or Local list on the WPS home page and tap the Share button next to the file name.
Success Criteria
- Interface result: The Share page opens.
- Next action available: You can see options such as sharing scope, collaborators, copy link, or export.
Tips While Using
- Common mistake: Opening the file itself instead of tapping the Share button in the document list takes you to the content page first.

2. Manage permissions and collaborators in Share
Entry point: The Share page.
- On the Share page, review Sharing Scope and choose the people you want to share with, or keep it visible only to yourself.
- Open People Who Joined the Share to review the current collaborator list.
- In Share Settings, adjust related permissions for export, printing, saving, and similar actions.
- If you need to manage collaborators later, return to this page to update or remove them.
Success Criteria
- Interface result: The sharing scope or permission settings are updated.
- Next action available: You can continue by copying a link, sending the file, or returning to the spreadsheet.
Tips While Using
- Common mistake: Sending a link before checking the sharing scope can give recipients a different access range than expected.

3. Copy a link or export and send the file
Entry point: Share to, Copy Link, Export as .xlsx, In-Person File Transfer, and More on the Share page.
- Tap Copy Link to copy the sharing link to the clipboard.
- Tap Share to and choose a target app such as WeChat, QQ, or Moments.
- If you need a standard spreadsheet file, tap Export as .xlsx to create a local spreadsheet file.
- If you need close-range transfer, tap In-Person File Transfer.
- If you need another method, tap More and choose options such as email sharing or copying the document.
Success Criteria
- Interface result: The link is copied, the target app opens, or a local
.xlsxfile is created. - Next action available: The recipient can open the link or receive the exported file.
Tips While Using
- Common mistake: Copying the link without pasting it into the target app can make it seem like the file was already sent.
