How-to Guide
1. Quick Sort (Ascending/Descending)
Entry point: Data tab → Sort → Ascending / Descending
- Select any cell in the column that you want to sort.
- Click Sort on the Data tab.
- Choose Ascending or Descending from the menu.
- Check whether the full table has been reordered by the selected column and whether related rows moved together.
Success Criteria
- Interface result: Full rows in the table are reordered based on the selected column.
- Next action available: You can continue editing, save the file, or run another sort.
Tips While Using
- Common mistake: Focusing on only one column and overlooking full-row movement. Check related columns after sorting.
- Environment note: In a collaborative sheet, the sorted order affects the current shared table order.
2. Custom Sort (Multi-Level Sorting)
Entry point: Data tab → Sort → Custom Sort
- Select any cell in the data range.
- Click Sort on the Data tab, then choose Custom Sort.
- In the Custom Sort dialog box, set the primary key, sort basis, and order.
- If the first row is a header, turn on Data has header row.
- If you need more levels, click + Add Condition to add another sort column.
- Click OK to apply the sort.
Success Criteria
- Interface result: Data is sorted by the primary key first, then by later conditions when values match.
- Next action available: You can reopen the dialog box to adjust conditions or keep the current result.
Tips While Using
- Common mistake: If the header option is not enabled, the first row may be sorted as regular data.
- Environment note: Multi-level sorting follows the order of the condition list.
3. More Settings
Entry point: Custom Sort dialog box → More Settings
- Open the Custom Sort dialog box.
- Click More Settings.
- Set the sort direction, case sensitivity, or regional sorting options as needed.
- Return to the main dialog box and confirm the sort.
Success Criteria
- Interface result: The sorting result follows the additional rules you selected.
- Next action available: You can continue adjusting sort conditions or finish organizing the data.
Tips While Using
- Common mistake: If the sort direction is not confirmed, the result may not match your expected row or column order.
- Environment note: Sorting ranges with merged cells may produce unexpected results, so check the table structure first.
