1. Create a Pivot Table

Entry point: Insert tab → Pivot Table

  1. Select any cell in the source data range and confirm that the data includes complete headers.
  2. Click the Pivot Table button on the Insert tab.
  3. In the dialog box, choose where to place the Pivot Table, either in a new worksheet or an existing worksheet.
  4. Click OK.
  5. Check whether the Pivot Table field panel appears on the right.

Success Criteria

  • UI state: A new Pivot Table area appears in the worksheet.
  • Next actions: The field panel is visible on the right, and you can continue dragging fields for analysis.

Tips While Using

  • The data range should not contain blank rows or blank columns when possible.
  • It is recommended to use a source range with clear headers.

2. Configure Pivot Table Fields

Entry point: Pivot Table field panel

  1. Find the fields you want to analyze in the field panel.
  2. Drag a field to the Filters area to set global filter conditions.
  3. Drag a field to the Columns area to display it as column headers.
  4. Drag a field to the Rows area to display it as row headers.
  5. Drag a field to the Values area to generate summary results such as Sum, Count, or Average.

Success Criteria

  • UI state: The Pivot Table shows summary results organized by rows, columns, and values.
  • Next actions: You can continue adjusting field positions or adding filter conditions.

Tips While Using

  • Numeric fields are usually more suitable for the Values area.
  • Changing field positions directly changes the analysis view.

3. Edit a Pivot Table

Entry point: Pivot Table field panel / right-click menu

  1. Click any cell in the Pivot Table to reactivate the field panel.
  2. Drag fields to different areas to reorganize the data view.
  3. Click a field in the Values area and choose a summary method such as Sum, Count, Average, Max, or Min.
  4. Use filters to switch between different data perspectives.
  5. When the source data changes, right-click the Pivot Table and select Refresh.

Success Criteria

  • UI state: The Pivot Table results update based on the new field layout or summary method.
  • Next actions: You can continue filtering, sorting, or refreshing the results again.

Tips While Using

  • After changing the source data, refresh the Pivot Table manually.
  • In collaborative work, it is recommended that one person adjusts the Pivot Table structure centrally.
