1. Create a Pivot Table

Entry: Insert → Pivot Table

  1. Select any cell in the source data range and confirm that the range includes complete headers.
  2. Click Pivot Table on the Insert tab.
  3. In the dialog box, choose where to place the result, either in a new worksheet or an existing worksheet.
  4. Click OK to generate the Pivot Table and open the field panel on the right.

  • Interface result: A new Pivot Table area appears in the worksheet.

Tips While Using

  • The source data should include complete headers and should avoid empty rows or columns when possible.

2. Configure Pivot Table Fields

Entry: Pivot Table field panel

  1. Find the fields you want to analyze in the field panel.
  2. Drag a field into Filters to set a global filter condition.
  3. Drag fields into Columns or Rows to organize horizontal and vertical categories.
  4. Drag fields into Values to calculate summaries such as sum, count, or average.
  5. Review the generated summary results in the worksheet.

  • Interface result: The Pivot Table shows summarized results based on the selected field layout.

3. Edit a Pivot Table

Entry: Pivot Table field panel / right-click menu

  1. Click any cell in the Pivot Table to reopen the field panel.
  2. Drag fields to different areas to reorganize the data view.
  3. Click a field in the Values area and change the summary method, such as sum, count, average, maximum, or minimum.
  4. Use filters to switch between different data views.
  5. When the source data changes, right-click the Pivot Table and select Refresh.
