How-to Guide
1. Apply an Existing Dropdown List
Feature entry: Insert → Dropdown List → Select a preset template
- Select the cell where you want to add a dropdown list.
- Click the Insert tab and then click Dropdown List.
- In the panel, find the Apply Existing Dropdown List area.
- Select a preset template such as Yes/No, Not Started/In Progress/Completed, or A/B/C.
- Click the template to apply it to the selected cell.
Success Criteria
- The selected cell shows a dropdown arrow or option effect.
- Clicking the cell lets you choose from the preset options.
Tips While Using
- Preset templates are useful for fast entry with fixed values.
- Applying a preset template adds selectable options to the cell.
2. Create a Custom Dropdown List
Feature entry: Insert → Dropdown List → Custom Dropdown List
- Select the cell where you want to add a dropdown list.
- Click the Insert tab and then click Dropdown List.
- At the bottom of the panel, click Custom Dropdown List.
- In the Insert Dropdown List dialog box, enter the option text one item at a time.
- Click + Add Option to add more items.
- Drag the handle on the left side of an option to reorder it.
- To remove an item, click the delete icon on the right side of that option.
- To allow multiple selections, select Multi-select.
- To assign different colors to options, select Color.
- To update other matching dropdown lists, select Apply to other identical dropdown lists.
- Click OK to finish.
Success Criteria
- The target cell expands to show the custom option list.
- The option order, colors, or multi-select setting match your configuration.
Tips While Using
- Prepare option names in advance to reduce repeated edits later.
- If multiple areas need the same rule, use Apply to other identical dropdown lists to save time.
3. Open More Settings for a Custom Dropdown List
Feature entry: Insert → Dropdown List → Custom Dropdown List → More Settings
- Open the Custom Dropdown List dialog box.
- Click More Settings in the upper-right corner.
- In the More Settings panel, set how input that does not meet the conditions should be handled.
- Enter a prompt title in Title.
- Enter the prompt message in Content.
- Click OK to save the settings.
Success Criteria
- Invalid input can trigger the configured prompt.
- The displayed title and content match the text you entered.
Tips While Using
- Keep the prompt message short and clear so users can understand the input rule quickly.
- This setting is useful for forms, registration sheets, and shared editing scenarios.
4. Clear a Dropdown List
Feature entry: Insert → Dropdown List → Clear Dropdown List
- Select the cell where you want to remove the dropdown list.
- Click the Insert tab and then click Dropdown List.
- At the bottom of the panel, click Clear Dropdown List.
- Check the target cell to confirm that the dropdown list has been removed.
Success Criteria
- The target cell no longer provides dropdown selection.
- Existing content in the cell remains available.
Tips While Using
- Clearing a dropdown list removes the rule only and does not delete existing text in the cell.
- If you want a new rule, clear the old one first and then create a new dropdown list.
