1. Use Format Painter Once
Entry: Home tab → Format Painter
- Select the cell or range that already has the formatting you want to copy.
- Click Format Painter on the Home tab.
- When the pointer changes to a brush, drag to select the target range.
- Release the mouse to apply the same formatting. Format Painter then turns off automatically.
Success Criteria
- Interface result: the target range shows the same font, color, border, fill, and related formatting as the source range.
- What you can do next: you can continue editing, entering data, or saving the spreadsheet.
Tips While Using
- Common mistake: if you do not select a source cell first, there is no format to copy.
- Environment note: if the file is view-only, editing actions may not be available.
2. Use Format Painter Repeatedly
Entry: Home tab → Format Painter
- Select the cell or range that already has the formatting you want to copy.
- Double-click Format Painter to enter repeated-use mode.
- Select each target range that should receive the same formatting.
- When finished, press
ESCor click Format Painter again to exit the mode.
Success Criteria
- Interface result: multiple target ranges receive the same formatting.
- What you can do next: after exiting the mode, normal selection and editing resume.
Tips While Using
- Common mistake: if you forget to exit repeated-use mode, later clicks may keep applying formatting.
