How-to Guide

1. Use Find

Entry: Home tab → Find, or press Ctrl+F

  1. Press Ctrl+F, or click Find on the Home tab.
  2. Enter the content you want to search for.
  3. Click Find Next to jump to the next matching cell.
  4. Click Find All to list all matching results.

Success Criteria

  • The current selection moves to a matching cell.
  • A result list appears when you use Find All.

Tips While Using

  • Confirm that you are searching in the intended worksheet or workbook.
  • If there are too many results, narrow the search with advanced options.

2. Use Replace

Entry: Home tab → Find drop-down menu → Replace, or press Ctrl+H

  1. Press Ctrl+H, or open the Find drop-down menu and select Replace.
  2. Enter the original content in the Find box.
  3. Enter the new content in the Replace with box.
  4. Click Replace to update one match, or click Replace All to update all matches in the current scope.

Success Criteria

  • The target cell content is updated to the new value.
  • A replacement result message appears after Replace All runs.

Tips While Using

  • Review matches with Find All before running a batch replacement.
  • In a collaborative sheet, confirm that every match should be updated before replacing all of them.

3. Use Go To

Entry: Home tab → Find drop-down menu → Go To, or press Ctrl+G

  1. Press Ctrl+G, or open the Find drop-down menu and select Go To.
  2. Choose the target area or content type you want to jump to.
  3. Confirm the selection to move to that location.

Success Criteria

  • The worksheet view jumps to the selected area or object location.
  • You can continue reviewing or editing content from that position.

Tips While Using

  • Go To is for navigation and does not change content by itself.
  • After jumping to a location, you can continue with Find or Replace if needed.

4. Use Advanced Find Options

Entry: Find/Replace dialog box → Options

  1. Open the Find or Replace dialog box.
  2. Click Options to expand advanced settings.
  3. Set the search scope, case sensitivity, whole-cell matching, or row and column search as needed.
  4. If needed, click Format to search by formatting conditions.
  5. Run Find or Replace after the settings are ready.

Success Criteria

  • The search result range becomes narrower based on the selected conditions.
  • The returned matches are closer to the exact target content.

Tips While Using

  • More conditions usually make the results more precise.
  • If nothing is found, check whether options such as case sensitivity or whole-cell matching are too restrictive.
