1. Turn on Filter

Entry: Home tab → Filter

  1. Select any cell in the data range, or select the full table first.
  2. Click Filter on the Home tab.
  3. Check whether a filter drop-down arrow appears in each column header.
  4. You can also press Shift + Command + L to turn on Filter quickly.

Success Criteria

  • Interface result: A filter drop-down arrow appears in each column header.
  • Next action available: You can click a header arrow to set filter criteria.

2. Filter Data by Condition

Entry: Click the drop-down arrow in the target column header

  1. Click the drop-down arrow in the target column.
  2. Choose a filtering method in the panel.
  3. To filter by selected values, check the items you want to keep visible.
  4. To filter by color, choose the target cell fill color.
  5. To filter by condition, choose a rule such as equal to, greater than, less than, or between.
  6. Confirm the criteria and review the rows that remain visible.

3. Use the Search Box for Quick Filtering

Entry: Column header drop-down arrow → Search box

  1. Click the drop-down arrow in the target column.
  2. Enter a keyword in the search box.
  3. Review the matching items shown by the filter panel.
  4. Check or clear the items you want.
  5. Confirm the selection to apply the result.

  • Interface result: Only matching candidate items or result rows remain visible.

4. Clear Filters

Entry: Home tab → Filter (click again to turn it off) / Column drop-down arrow → Clear Filter

  1. To clear a filter in one column, click that column’s drop-down arrow.
  2. Select Clear Filter to restore the full display for that column.
  3. To clear all filters, click Filter again to exit filter mode.
  4. You can also press Shift + Command + L to toggle filter mode quickly.

  • Interface result: Hidden rows reappear, or the filter state returns to normal.
