1. Start File Optimization

Entry: File (☰) icon → Special Features → File Optimization

  1. Open the collaborative spreadsheet that you want to optimize.
  2. Click the File (☰) icon in the upper-left corner.
  3. Select Special Features.
  4. Click File Optimization.
  5. Wait for the feature to analyze the file and display the current file size.

Success Criteria

  • Interface result: the File Optimization panel opens and shows the current file size.
  • Next action available: you can continue to review optimized items or open optimization settings.

Tips While Using

  • Common mistake: if the target collaborative spreadsheet is not open first, you cannot optimize that file directly.
  • Environment note: for collaborative files, make sure the file can still be saved and synced normally.

2. Review Optimized Items

Entry: File Optimization panel

  1. After starting File Optimization, review the optimization results in the panel.
  2. Confirm the listed optimized items.
  3. Check items such as picture compression, redundant data cleanup, and style cleanup.
  4. Use the results to judge whether the file size has improved.
