FAQ

Does data validation in a collaborative sheet apply to all collaborators?

  1. Data validation rules are saved in the current spreadsheet file.
  2. Other collaborators editing the same sheet follow the same rules.
  3. To keep team input consistent, set the rules before sharing the file for editing.

How do I batch update an existing data validation rule or source?

  1. Select the cell range that already has data validation applied.
  2. Open the Data Validation dialog.
  3. Edit the existing source or validation rule.
  4. Enable Apply these changes to all other cells with the same settings.
  5. Click OK to update the rule in batch.

Why do I see a warning or fail to enter data in a validated cell?

  1. Check whether the cell already has a data validation rule.
  2. If the entered value does not match the drop-down options, allowed range, or other rule conditions, an error alert appears.
  3. If the alert style is set to reject invalid input, the value cannot be entered into the cell.
  4. Adjust the entry based on the message, or update the rule if you manage the sheet.
