1. Switch to Outline View

Entry point:

  • View tab → Outline
  • Outline icon in the lower-left area of the status bar
  1. Open the document whose structure you want to organize.
  2. Click Outline on the View tab, or click the Outline icon in the lower-left area of the status bar.
  3. The document switches to Outline View.
  4. Review the document hierarchy on the left side.
  5. Click headings at different levels to jump to the matching location in the body text.
  6. To exit, click the same entry again to close Outline View.

Success Criteria

  • UI state: The document enters Outline View and the hierarchy appears on the left side.
  • Next actions: You can click headings to navigate and continue expanding, collapsing, or reordering the outline.

Tips While Using

  • It is recommended to organize the document with heading styles first so the hierarchy is clearer.
  • If the document is short or does not use heading levels, the outline may be less obvious.

2. Expand or Collapse the Outline

Entry point: Outline toolbar → Expand All Levels / Collapse All Levels

  1. Enter Outline View first.
  2. In the left pane or the outline toolbar, click Expand All Levels to show all heading levels in the document.
  3. Click Collapse All Levels to fold the hierarchy.
  4. For partial review, use the expand or collapse controls for different levels as needed.

Success Criteria

  • UI state: Heading levels expand or collapse based on your action.
  • Next actions: You can continue reviewing a specific level or move to another section.

Tips While Using

  • Expanding all levels is useful for checking the full structure, while collapsing is better for scanning top-level headings.
  • The more consistent the heading structure is, the easier the outline is to read after expanding or collapsing.

3. Adjust Outline Order

Entry point: Outline toolbar → Move Up / Move Down

  1. Enter Outline View and select the heading or paragraph you want to move.
  2. Click Move Up or Move Down.
  3. Check the new position of the selected content.
  4. Confirm that child content moves together with the parent level.
  5. Repeat until the document structure is in the order you want.

Success Criteria

  • UI state: The selected heading or paragraph moves to a new position.
  • Next actions: Related child content stays with it, and you can continue editing or save the document.
  • No side effects: You can reorganize the structure without manually cutting and pasting.

Tips While Using

  • Confirm that you selected the intended heading or paragraph before moving it.
  • When reorganizing a long document, check parent-child relationships as you go.
