1. Set password protection for a document
Entry: Top-right menu icon → Document Encryption → turn on Password Encryption
- Open the document you want to protect.
- Tap the top-right menu icon.
- Select Document Encryption from the list.
- Turn on Password Encryption.
- In the pop-up panel, set a password.
- Set Open Permission and Modify Permission passwords as needed.
- Tap OK to finish.
Success Criteria
- Interface result: when you open Document Encryption again, the password-related settings are shown as enabled.
- Next action available: after saving and reopening the document, the corresponding password is required based on your settings.
Tips While Using
- Keep the password in a safe place. If you forget it, you may not be able to open the protected document directly.
- Open permission and modify permission can be set separately, so choose the combination that fits your sharing scenario.
2. Manage encryption settings for an existing document
Entry: Top-right menu icon → Document Encryption → Change Password
- Open a document that already has encryption enabled.
- Tap the top-right menu icon.
- Select Document Encryption from the list.
- Tap Change Password.
- In the pop-up panel, change the password or clear the current document password.
- Tap OK to finish.
Success Criteria
- Interface result: after the change, reopening the Document Encryption panel shows the updated status.
- Next action available: when the document is reopened or edited again, the new settings take effect.
Tips While Using
- After you remove a password, the document will no longer use the previous password-based access control.
- Before changing a password, confirm whether recipients also need the updated password information.
