1. Set refresh on file open

Entry: Right-click an imported linked data range → Data Range Properties → Refresh data when opening the file

  1. Right-click the imported linked data range in the worksheet.
  2. Open the Data Range Properties panel.
  3. Select Refresh data when opening the file.
  4. Click OK to save the setting.
  5. Open the workbook again later to let the linked data sync with the latest source data.

Success Criteria

  • The checkbox remains selected when you reopen the properties panel.
  • The workbook can trigger a refresh when the file opens.

Tips While Using

  • This setting works only for imported external linked data ranges.
  • If the source cannot be reached, the refresh may not complete when the file opens.

2. Set scheduled automatic refresh

Entry: Right-click an imported linked data range → Data Range Properties → Refresh frequency

  1. Open the worksheet that contains the linked data range.
  2. Right-click the target range and open Data Range Properties.
  3. Select Refresh frequency.
  4. Enter the refresh interval in minutes.
  5. Click OK to apply the setting.

Success Criteria

  • The refresh frequency option is enabled and shows the saved minute value.
  • The data can update according to the selected interval while the worksheet is in use.

Tips While Using

  • Very short intervals can increase network requests.
  • Set the interval based on how often the source data changes.

3. Set how row changes are handled after refresh

Entry: Right-click an imported linked data range → Data Range Properties

  1. Open the Data Range Properties panel.
  2. Find the option for how the number of rows in the data range changes upon refresh.
  3. Choose one of the available methods: insert cells for new data and delete unused cells; insert entire rows for new data and clear unused cells; or overwrite existing cells with new data and clear unused cell contents.
  4. Click OK to save the change.

Success Criteria

  • The selected row-change handling option is saved.
  • After refresh, the worksheet handles added or removed rows according to the selected method.

Tips While Using

  • Different options can affect content below or to the right of the imported range.
  • In a complex worksheet, review nearby layout before changing this setting.
