1. Insert a Dropdown List
Entry point: Data tab → Dropdown List
- Select the cell or cell range where you want to add a dropdown list.
- Click Dropdown List on the Data tab.
- Choose a setup method:
- Manually add dropdown options: click the add button and enter options one by one.
- Select dropdown options from cells: select the cell range that already contains the options.
- Adjust the option order as needed, or remove options you do not need.
- Click OK to apply the settings.
Success Criteria
- UI state: A dropdown arrow appears in the target cell.
- Next actions: You can click the dropdown arrow and choose from the preset options.
- No side effects: Existing content in other cells is not changed automatically.
Tips While Using
- Common mistakes: Opening the feature before selecting the target cell can cause the applied range to differ from what you expect.
- Environment limits: If you import options from cells, prepare a complete option range in advance.
2. Create a Dropdown List with Data Validation
Entry point: Data tab → Validation → Settings → Allow → List
- Select the target cell.
- Click Validation on the Data tab.
- In the dialog box, switch to the Settings tab.
- In the Allow dropdown, select List.
- In the Source box, enter the dropdown options and separate multiple options with commas.
- Click OK to finish the setup.
- Click the dropdown arrow on the right side of the cell and choose the value you need.
Success Criteria
- UI state: A dropdown arrow is visible on the right side of the target cell.
- Next actions: After you click the arrow, you can choose from the list options you entered.
- No side effects: Other cells that were not selected do not automatically receive the same rule.
Tips While Using
- Common mistakes: If multiple options are not separated with commas, the list may not be recognized correctly.
- Environment limits: If the cell already contains content that does not match the rule, review the existing data first.
