1. Set Data Validation

Entry: Data tab → Validation

  1. Select the cells where you want to apply a rule.
  2. Click Validation on the Data tab.
  3. In the settings window, choose the allowed input type and set the condition.
  4. Set an input message and error alert if needed.
  5. Click OK to apply the rule.

Success Criteria

  • Interface result: The selected cells now have a data validation rule.
  • Next action available: Input is restricted or prompted according to the rule you set.

Tips While Using

  • Common mistake: If you open the validation settings before selecting the target cells, the rule may not be applied to the intended range.
  • Environment note: You need edit permission for the current worksheet.

2. Circle Invalid Data

Entry: Data tab → Validation dropdown → Circle Invalid Data

  1. Select the cells you want to check against existing validation rules.
  2. Click the Data tab.
  3. Open the Validation dropdown menu.
  4. Click Circle Invalid Data.
  5. Review the cells that are marked as not matching the rule.

Success Criteria

  • Interface result: Cells that do not meet the validation rules are marked.
  • Next action available: You can correct the marked values or continue checking other ranges.

Tips While Using

  • Common mistake: If no validation rule has been set for the selected cells, the result may not be obvious.
  • Environment note: It is helpful to confirm that the target range already has validation rules.

3. Clear Validation Circles

Entry: Data tab → Validation dropdown → Clear Validation Circles

  1. Select the marked cells or the related range.
  2. Click the Data tab.
  3. Open the Validation dropdown menu.
  4. Click Clear Validation Circles.
  5. Confirm that the marks are removed and the cell values remain unchanged.

Success Criteria

  • Interface result: The invalid-data circles are removed.
  • Next action available: You can continue editing, reviewing, or run Circle Invalid Data again.
  • No side effect: Clearing the marks does not delete the original cell values.

Tips While Using

  • Common mistake: Clearing validation circles does not remove the validation rule and does not automatically fix invalid values.
