1. Create a group

Entry point: Data tab → Group

  1. Select the contiguous rows or columns that you want to group.
  2. Click Group on the Data tab.
  3. In the dialog box, choose the grouping type. Select Rows to group rows or Columns to group columns.
  4. Click OK to finish.
  5. Repeat the same steps if you need to create multiple groups.

Success Criteria

  • Outline symbols appear next to the selected area.
  • You can collapse or expand the grouped detail data.
  • The original data remains unchanged.

Tips While Using

  • This works with contiguous row or column ranges.
  • Keep separator areas between groups when organizing row or column groups.

2. Ungroup data rows or columns

Entry point: Data tab → Ungroup

  1. Place the cursor in the grouped area that you want to remove.
  2. Click Ungroup on the Data tab.
  3. Finish the ungroup action.

Success Criteria

  • The existing outline symbols disappear or the selected group is removed.
  • The data returns to an ungrouped state.
  • You can create a new grouping structure later if needed.

Tips While Using

  • Make sure the cursor is inside the target grouped area.
  • Ungrouping does not delete the original data.

3. Adjust outline settings

Entry point: Data → Outline Settings arrow

  1. Click the Data tab.
  2. Click the Outline Settings arrow.
  3. In the pane, select or clear Below detail data or To the right of detail data.
  4. Click OK to save the setting.

Success Criteria

  • The display position of the outline symbols changes.
  • Future grouping display follows the current setting.

Tips While Using

  • This setting mainly affects how outline symbols relate to detail data.
  • Check the result together with your existing groups after the change.

4. Group worksheets

Entry point: Worksheet tab area at the bottom

  1. Press and hold Ctrl.
  2. Click the worksheet tabs that you want to group.
  3. When all target worksheets are selected, worksheet grouping is complete.

Success Criteria

  • Multiple target worksheets are selected at the same time.
  • Later edits are synchronized across the grouped worksheets.

Tips While Using

  • After worksheets are grouped, actions apply to all grouped worksheets.
  • This is useful for batch work on worksheets with the same structure.

5. Ungroup worksheets

Entry point: Right-click a worksheet tab → Ungroup Worksheets

  1. Right-click any worksheet tab inside the grouped set.
  2. Select Ungroup Worksheets.
  3. Finish the ungroup action.

Success Criteria

  • The worksheet returns to a single selected state.
  • Later edits affect only the current worksheet.

Tips While Using

  • It is a good idea to ungroup worksheets after batch editing.
  • This helps avoid applying later edits to multiple sheets by mistake.
