How-to Guide
1. Set password encryption
Feature path: File → Document Encryption → Password Encryption
- Open the document that you want to protect.
- Click File.
- Select Password Encryption under Document Encryption.
- In the password encryption window, set an Open File Password to control document access.
- If needed, set a Modify File Password to control editing access.
- Click Apply to save the settings.
Success Criteria
- Interface result: The password settings are applied to the current document.
- What you can do next: When the document is reopened or edited, the related password prompt appears as configured.
Tips While Using
- Keep the password in a safe place because it usually cannot be recovered if forgotten.
- The open password and modify password can be set separately.
2. Remove password encryption
Feature path: File → Document Encryption → Password Encryption
- Open the protected document and enter the correct password.
- Click File.
- Select Password Encryption under Document Encryption.
- Clear the existing password in the password field.
- Click Apply to save the change.
Success Criteria
- Interface result: The password field is cleared and the change is applied.
- What you can do next: The document no longer asks for the removed password when reopened or edited.
Tips While Using
- You need to know the original password before removing password protection.
- Save the document after removing protection so the change takes effect.
3. Handle an account-encrypted document
Feature path: Sign in to the encryption account → Open the document → Review → Document Permissions
- Sign in with the WPS account that was used when the document was encrypted.
- Open the related encrypted document.
- Click Review.
- Open Document Permissions.
- Turn off Private Document Protection.
Success Criteria
- Interface result: The Private Document Protection switch is turned off.
- What you can do next: The document can continue to be used under the updated permission state.
Tips While Using
- Only the account used during encryption can perform the related protection removal.
- If the wrong account is signed in, the permission setting may not be available.
4. Review encryption types and content protection
Feature path: File → Document Encryption → Password Encryption → Advanced options
- Open the document and go to File.
- Select Password Encryption under Document Encryption.
- Review the Advanced options in the window.
- Choose an encryption type as needed.
- If you want to limit copy and paste behavior, confirm that the client version meets the requirement and then enable the related protection option.
Success Criteria
- Interface result: You can see the encryption type settings in Advanced options, or the related content protection option is enabled.
- What you can do next: The document can be saved and shared with the selected protection method.
Tips While Using
- Different encryption types are intended for different protection needs.
