1. Use Format Painter Once

Entry point: Home tab → Format Painter

  1. Select the cell or range that already has the formatting you want.
  2. Click Format Painter on the Home tab.
  3. When the pointer changes to a brush, drag across the target area where you want to apply the formatting.
  4. Release the mouse button to apply the formatting. Format Painter then exits one-time mode automatically.

Success Criteria

  • UI state: The target area shows the same font, color, border, or alignment as the source area.
  • Next actions: You can continue editing content, save the file, or move on to other layout changes.
  • No side effects: Existing values and formulas in the target cells stay unchanged.

Tips While Using

  • Common mistakes: If you click Format Painter before selecting the source cell, the target style cannot be copied correctly.
  • Environment limits: Use it in an editable spreadsheet area.

2. Use Format Painter Continuously

Entry point: Home tab → Format Painter

  1. Select the cell or range that already has the formatting you want.
  2. Double-click Format Painter to enter continuous mode.
  3. Click or drag across each target area that should receive the same formatting.
  4. Press Esc, or click Format Painter again, to exit continuous mode when finished.

Success Criteria

  • UI state: Multiple target areas show the same formatting.
  • Next actions: After exiting continuous mode, normal selection and editing actions are restored.
  • No side effects: The process copies formatting only, not source values or formulas.

Tips While Using

  • Common mistakes: If you do not exit continuous mode after finishing, later clicks may keep applying formatting.
