1. Turn on Filter
Entry path: Home tab → Filter
- Select any cell in the data range, or select the full table first.
- Click Filter on the Home tab.
- Check whether drop-down arrows appear in each column header.
- You can also press Ctrl + Shift + L to turn Filter on quickly.

- Interface result: A drop-down arrow appears in each column header.

- Common mistake: If the selected range is not continuous, the filter range may be incomplete.

2. Filter data by condition
Entry path: Click the drop-down arrow in a column header
- Click the drop-down arrow in the target column header.
- Choose a filtering method in the panel.
- Select the items you want to show, or choose filter by color.
- If needed, choose conditions such as equals, greater than, less than, or between.
- Confirm the selection and review the filtered rows.
Success Criteria
- Interface result: Rows that do not match the condition are temporarily hidden.
- What you can do next: You can continue adding filters to other columns.

- Common mistake: Clearing all items by mistake may leave no visible data in the current column result.
- Environment note: When multiple columns are filtered, the result reflects all active column conditions together.
3. Use the search box to filter faster
Entry path: Column header drop-down arrow → Search box
- Click the drop-down arrow in the target column.
- Enter a keyword in the search box.
- Review the narrowed list of candidate items in the filter panel.
- Select or clear the relevant items.
- Confirm and review the filtered result.
Success Criteria
- Interface result: The filter panel shows only items or results related to the keyword.
- What you can do next: You can change the keyword or adjust the selected items again.
Tips While Using
- Common mistake: Entering a keyword without checking the selected items may produce an unexpected result.
- Environment note: The search box narrows the candidate list, but the final result still depends on the checked items.
4. Clear Filter
Entry path: Home tab → Filter; or column drop-down arrow → Clear Filter
- To clear the filter in one column, click that column's drop-down arrow.
- Select Clear Filter to restore the full data for that column.
- To clear all filters, click Filter again to turn filtering off.
- You can also press Ctrl + Shift + L to switch the filter state quickly.
Success Criteria
- Interface result: Hidden rows appear again, or the header drop-down arrows disappear.
- What you can do next: You can turn Filter on again and apply new conditions.
Tips While Using
- Common mistake: Turning filtering off before confirming the current result may interrupt your review flow.
