How-to Guide

1. Encrypt from the File Menu

Entry point: File > Document Encryption

  1. Open the presentation file that you want to protect.
  2. Click the File menu at the top of the window.
  3. Select Document Encryption.
  4. Enter a password in the dialog box.
  5. Enter the password again to confirm it, then click OK.
  6. Save the file so the password takes effect.

Success Criteria

  • UI state: When you close and reopen the file, a password prompt appears.
  • Next actions: After entering the correct password, you can view and edit the presentation normally.
  • No side effects: Existing content and layout stay unchanged after the password is set.

Tips While Using

  • Common mistakes: If you set a password but do not save the file, the protection may not be written to the document.
  • Environment limits: If the file location does not allow writing, the encrypted result may not be saved.

2. Encrypt from File Options

Entry point: File > Options > Security

  1. Open the presentation file that you want to protect.
  2. Click File in the top menu bar.
  3. Select Options.
  4. In the settings window, click Security.
  5. Enter a password and confirm it.
  6. Save the file to complete the encryption setup.

Success Criteria

  • UI state: The presentation asks for a password the next time it is opened.
  • Next actions: After entering the correct password, you can continue editing, presenting, or saving the file.
  • No side effects: Without the correct password, the file content cannot be accessed directly.

Tips While Using

  • Common mistakes: If the two password entries do not match, the setting will not be applied.
  • Environment limits: After setup, reopen the file once to confirm that password protection is active.
