How-to Guide

1. Save a document

Entry path: File > Save

  1. Open the PDF file you want to work with.
  2. Click Save in the File menu.
  3. Or press Ctrl+S to save quickly.
  4. If this is the first time you save the file, choose a save location and enter a file name in the Save As dialog.
  5. After the first save is complete, later saves overwrite the current file directly.

Success Criteria

  • Interface result: The Save As dialog appears on the first save, and later saves do not open it again.
  • What you can do next: Continue editing, close the file, or use Save As again.

Tips While Using

  • Permissions or membership: Saving an edited PDF requires the corresponding membership access.
  • Common mistake: If you do not confirm the path during the first save, the file may not be stored in the folder you expected.

2. Save as a new file

Entry path: File > Save As

  1. Open the PDF file for which you want to keep a separate copy.
  2. Click Save As in the File menu.
  3. Choose a new save location in the dialog.
  4. Enter a new file name.
  5. Click Save to finish.

Success Criteria

  • Interface result: A new file copy is created.
  • What you can do next: Keep working with either the original file or the new file.

Tips While Using

  • Permissions or membership: This action requires the corresponding membership access.
  • Common mistake: If the file name and path are exactly the same as the original, the file may be overwritten.

3. Save in another format

Entry path: Save As dialog > Save as type

  1. Open the PDF file and enter the Save As dialog.
  2. Click the Save as type drop-down list.
  3. Select the output format you need, such as PDF, image, or Word.
  4. Confirm the save location and file name.
  5. Click Save to finish the output.

Success Criteria

  • Interface result: A new file in the selected format appears in the target folder.
  • What you can do next: Open the exported file in another app for viewing or editing.
