How-to Guide
1. Save a workbook
Entry: File → Save
- Click File on the top menu bar.
- Select Save.
- If this is the first save, choose a save location and enter a file name.
- Confirm the action to save the workbook.
Success Criteria
- Interface result: The file is written to the selected location and shows a saved state.
- What you can do next: Continue editing the current workbook and save again when needed.
Tips While Using
- The first save requires a file name and save location.
- If you save to an external drive or a restricted folder, make sure macOS allows write access.
2. Use the save shortcut
Entry: Keyboard shortcut
- Open the workbook that you want to save.
- Press Command+S.
- If this is the first save, follow the prompt to set the file name and location.
Success Criteria
- Interface result: Current changes are saved to the existing file, or a new file is created during the first save.
- What you can do next: Keep editing and use the shortcut again whenever needed.
Tips While Using
- If the current window is not active, the shortcut may not apply to WPS Spreadsheet.
- A first-time save still requires a file name and save path.
3. Turn on autosave
Entry: Autosave on the menu bar
- Find Autosave on the menu bar.
- Click it to turn autosave on.
- Continue editing the spreadsheet and let the app save changes periodically.
Success Criteria
- Interface result: Autosave is shown as enabled.
- What you can do next: Continue editing while changes are saved at intervals.
Tips While Using
- Autosave is useful for long editing sessions, but manual saving is still helpful after important changes.
- If the file is stored in a restricted location, autosave also needs write permission.
4. Save as a new file
Entry: File → Save As
- Click File on the top menu bar.
- Select Save As.
- Choose the save format you need, such as a WPS spreadsheet file, a WPS spreadsheet template file, or another format.
- Enter a new file name and choose a save location.
- Click Save.
Success Criteria
- Interface result: A new file copy is created.
- What you can do next: Keep the original file unchanged and continue editing either file.
Tips While Using
- Save As does not replace the original file, which makes it useful for version retention.
- If you choose another format, reopen the saved file to confirm that the content appears as expected.
