How-to Guide

1. Add a highlight from the ribbon

Entry path: Comment tab → Highlight Text

  1. Click the Comment tab on the top menu bar.
  2. Click Highlight Text.
  3. Choose a highlight color in the color picker.
  4. Hold down the left mouse button and drag across the text you want to highlight.
  5. Release the mouse button to apply the highlight.

Success Criteria

  • Visual result: The selected text appears with a highlight color.
  • Next action available: You can continue adding highlights or click an existing highlight to edit it.

Tips While Using

  • Membership: Editing a PDF and adding highlights requires WPS Premium.
  • Common mistake: Text highlighting works on text content; for non-text areas, use another annotation method.

2. Change a highlight color

Entry path: Click an existing highlight

  1. Click the highlighted text.
  2. Click the Color button on the floating toolbar.
  3. Select a new highlight color.

Success Criteria

  • Visual result: The original highlight changes to the new color.
  • Next action available: You can continue adjusting other highlights.

Tips While Using

  • Membership: This action requires PDF editing membership access.
  • Common mistake: Make sure the existing highlight is selected before changing its color.

3. Delete a single highlight

Entry path: Right-click an existing highlight

  1. Right-click the highlighted text.
  2. Select Delete from the menu.
  3. The highlight is removed.

Success Criteria

  • Visual result: The highlight disappears from the text.
  • Next action available: You can continue deleting other highlights you no longer need.

Tips While Using

  • Membership: Deleting highlights is part of PDF editing and requires membership access.

4. Delete all highlights in bulk

Entry path: Annotation management panel

  1. Open the PDF file and go to the annotation management area.
  2. Open the Annotation Management panel.
  3. Find the list of highlight annotations.
  4. Select the highlights you want to remove.
  5. Run the bulk delete action to remove all selected highlights.

Success Criteria

  • Visual result: The selected highlight records are removed from annotation management.
  • Next action available: The deleted highlights no longer appear in the document.
