How-to Guide

1. Find Text

Entry point: Home tab → Find and Replace

  1. Open the PDF file you want to work with.
  2. Click the Home tab on the top menu bar.
  3. Click Find and Replace.
  4. Enter the text you want to find in the panel.
  5. Click Find Next.
  6. Review the highlighted match in the document.

Success Criteria

  • Interface result: the find panel opens normally and the matched content is highlighted in the document.
  • Next action available: you can continue clicking Find Next to move through later matches.

Tips While Using

  • Common mistake: if no PDF file is open, document-level search cannot be performed directly.
  • Permissions or membership: editable PDF features generally require WPS Premium.
  • Environment note: if the file is a scanned PDF, OCR may be needed before text can be found accurately.

2. Replace Text

Entry point: Home tab → Find and ReplaceReplace

  1. Open the PDF file, then click Find and Replace.
  2. Switch to the Replace tab.
  3. Enter the target text in Find what.
  4. Enter the new text in Replace with.
  5. Click Replace to update the current match.
  6. Click Replace All if you want to process all matches at once.

Success Criteria

  • Interface result: the current match or all matches are updated with the new text.
  • Next action available: you can save the file or continue with another round of find and replace.

Tips While Using

  • Common mistake: running Replace All before checking the matches can cause unwanted edits.
  • Permissions or membership: replacement is part of the PDF editing workflow and generally requires WPS Premium.
  • Environment note: this works on editable text content only; text inside images cannot be replaced directly.

3. Adjust Find Settings

Entry point: Home tab → Find and Replace → settings options

  1. Click Find and Replace.
  2. Click the settings icon to expand the search options.
  3. Select Match case, Find whole words only, or Use wildcards as needed.
  4. Enter the search text and run find or replace.
  5. Adjust the settings until the match scope fits your needs.
