1. Apply Highlight

Entry: Select text, open the Home tab, and click the drop-down arrow next to Highlight.

  1. Select the text you want to highlight.
  2. Click the Home tab.
  3. Click the drop-down arrow next to Highlight.
  4. Select the color you want.
  5. The selected text appears with the chosen highlight color.

Success Criteria

  • Visual result: The selected text shows a visible highlight background color.
  • Next action available: You can continue editing, searching, or changing the color.

Tips While Using

  • Common mistake: If no text is selected first, the color may not apply to the intended content.
  • Environment note: The document needs to be editable.

2. Highlight Find Results

Entry: Use Find from the Home tab, enter content, then use Highlight > Highlight All.

  1. Press Ctrl+F to open the Find pane.
  2. Enter the content you want to find.
  3. Click Highlight.
  4. Select Highlight All.
  5. All matched content in the document is marked together.

Success Criteria

  • Visual result: All matched text in the document appears highlighted.
  • Next action available: You can review each match and continue editing the document.

Tips While Using

  • Common mistake: If the search box is empty, no useful match results will appear.
  • Environment note: If there are many matches, review them section by section while scrolling.

3. Clear Highlight

Entry: Select highlighted text, open the Home tab, and choose No Color from the Highlight drop-down list.

  1. Select the text that already has highlighting.
  2. Click the Home tab.
  3. Click the drop-down arrow next to Highlight.
  4. Select No Color.
  5. The text returns to a non-highlighted state.

Success Criteria

  • Visual result: The existing highlight background is removed.
  • Next action available: You can apply another color or save the document.

Tips While Using

  • Common mistake: If the target text is not selected, the intended highlight may not be cleared.
